Trackords - Tracking Records
Visa, Iqama & Passport tracker

Never miss a visa renewal again

Track visas, Iqama, residency permits, passports and national IDs for yourself, your family or your entire team. Email reminders at 35, 10 and 5 days before every expiry plus a critical alert on the day a document actually expires — so no document ever lapses.

The problem

Missing a visa deadline is expensive

An expired Iqama can mean fines that scale with each overdue day. A lapsed work visa can mean weeks of stress, emergency travel, or worse — deportation. A passport that runs out mid-trip costs you a flight home, an embassy appointment and a story you'd rather not tell again.

The hardest part: nobody sends you a useful reminder. Governments mail letters that arrive after the deadline. Some embassies email, some don't. Family members rely on you to remember. HR systems forget which employees are foreign nationals.

Trackords sits above all of that. One workspace per family or team, every document tracked, automatic email reminders at 35, 10 and 5 days before each expiry, plus a critical alert on the day of expiry. The reminders go to the document owner, the family admin and anyone you nominate — so the right person sees it first time.

Who uses it

Built for people who can't afford to forget

Expat families

Track every family member's Iqama, passport, work permit and dependent visa in one shared workspace. The "Reminder email" field means each renewal pings the right adult.

HR & people teams

Track every foreign employee's work visa, residency permit and right-to-work documentation. Per-employee identifier field for visa numbers.

Frequent travellers

Track passports expiring in different countries, Schengen visa allowances and ESTA-style authorisations. Country field built in.

Sponsoring employers

In the Gulf and elsewhere, track each sponsored worker's Iqama and dependent residency status from one dashboard.

Immigration advisors

Manage many clients in isolated workspaces. Each client gets their own audit trail, attachments and reminder thread.

Anyone with international family

Aging parents, kids studying abroad, a spouse on a different nationality — one workspace covers them all.

Built for the job

Tracked the way visas need to be tracked

Country field

Tag each document with the issuing country so you can filter "all docs from Saudi Arabia" or "all UK visas" in one click.

Identifier field

Store the visa number, passport number or Iqama ID on the record — never hunt through emails for it again.

Document attachments

Scan the passport, store the visa PDF, attach the work permit. Files live outside the public web root and are MIME-validated.

Owner + Reminder email

Set the document owner (the person it belongs to) and an optional Reminder email (the family admin). Both get notified.

Iqama record type

Dedicated record type for Saudi-style residency permits, with the right defaults.

Audit log

Every edit is logged with who, when and the IP — useful when multiple family members share the workspace.

No more expired-document panic

Set up your workspace in under a minute. Add the first visa or Iqama. Trackords does the rest.

FAQ

Visa & passport tracker — questions people ask

Which visa and immigration documents can I track?
Work visas, tourist visas, residency permits (including Saudi Iqama, UAE residence visa, US Green Card, Schengen permits), passports, national IDs, driving licences, Emirates ID, professional licences, and any government-issued document with an expiry date. Each record can hold the document image as an encrypted attachment.
Can I track documents for my whole family or my company employees in one place?
Yes. Create one workspace per family or company, invite the people who need to see the records (or just an HR admin), and add each person's documents with the right owner. Each record has its own owner and reminder recipient, so notifications go to the right person without exposing every record to everyone.
What if my visa or passport has already expired?
Trackords sends a critical alert email on the day the record expires, so even if you missed the 35, 10 and 5-day reminders, you still get a final heads-up. After that, the record stays in your workspace until you mark it renewed or delete it.
Is sensitive immigration data safe in Trackords?
Yes. Hosting is in the EU. Passwords are bcrypt-hashed, file attachments (visa scans, passport copies) are stored encrypted outside the public web root, every database query is scoped by account so workspaces are fully isolated, and every change is recorded in an immutable audit log. Analytics are consent-based: Google Analytics 4 loads only after you accept the cookie banner, and your IP is anonymised before it leaves the page. No session-recording, fingerprinting or advertising trackers are present.
