Trackords - Tracking Records
Contract renewal tracker

Contract renewal tracker for teams that hate spreadsheets

Track MSAs, NDAs, software licenses, insurance policies and supplier agreements in one workspace. Get email reminders 35, 10 and 5 days before every renewal plus a critical alert on the day a contract actually expires — so legal, ops and finance never get caught off-guard.

The problem

Contracts get lost between teams

Legal signed the MSA two years ago. Ops owns the day-to-day vendor relationship. Finance pays the invoice. Procurement renews the line item. Nobody actually owns the renewal date.

Three months out, nobody remembers it's coming. Two weeks out, the vendor sends a renewal email that lands in a personal inbox of someone who left the company. One week out, the contract auto-renews at a 12% price hike with terms you'd have renegotiated.

Trackords gives every contract a single, shared home. One workspace, every agreement, automatic email reminders at 35, 10 and 5 days before each renewal date, plus a critical alert on the day of expiry. Multiple stakeholders are notified together — legal, ops, finance, the budget owner — so the conversation starts early.

What you can track

Every business document with a renewal date

MSAs & SOWs

Master service agreements and statements of work, with auto-renewal dates and clause notes.

NDAs

Mutual and one-way NDAs, with expiry and the right counterparty captured.

Software licenses

Per-seat enterprise licenses, perpetual licenses, support contracts — track the renewal, not just the cost.

Insurance policies

Commercial liability, cyber, key-person, D&O — never let a policy lapse silently.

Supplier agreements

Standing supplier contracts with renewal or auto-extension clauses.

Certifications

SOC 2, ISO 27001, PCI — certifications expire too. Track the next audit deadline.

Domain registrations

Domains that drift to lapse are the cheapest avoidable disaster. Track them.

SSL certificates

If you don't auto-renew via Let's Encrypt, you need to track these.

Office leases

Big-ticket annual contracts that benefit from 90+ day prep time.

For teams

Made for cross-functional ownership

Multi-recipient reminders

Every reminder goes to the record creator, the owner, the explicit Reminder email user and every workspace admin. The right person sees it first time.

Role-based access

Legal gets admin, ops gets editor, finance gets viewer. Each role enforced server-side.

Attach the signed PDF

Drop the executed contract on the record. Files live encrypted outside the web root.

Vendor + identifier

Capture the counterparty name and the contract reference. Searchable, sortable, exportable.

CSV import

Bulk-load every contract you currently track in a spreadsheet. Sample template included.

Audit log

Every change recorded with actor, IP and timestamp. Useful for governance and SOC 2 evidence.

Stop the surprise auto-renewals

Add every contract to Trackords once. Get warned every time one is about to renew.

FAQ

Contract renewal tracker — questions people ask

What kinds of contracts can I track in Trackords?
Master service agreements (MSAs), NDAs, statements of work (SOWs), software licences and SaaS subscriptions, insurance policies, supplier and vendor agreements, lease agreements, employment contracts, partnership agreements and certifications. Each contract can hold the signed PDF as an encrypted attachment.
Can different teammates own different contracts?
Yes. Every contract record has an "owner" field (the person responsible for the renewal decision) and a separate "reminder email" field (the person to ping first). Combined with workspace roles (admin, editor, viewer), Legal can own MSAs while Finance owns insurance and Procurement owns vendor contracts — all in the same workspace.
Will I be warned in time to renegotiate before auto-renewal kicks in?
Yes. Trackords sends reminder emails 35, 10 and 5 days before the renewal date. Most auto-renewal clauses give 30 to 60 days notice — the 35-day reminder hits exactly inside that window so you have time to send a notice of non-renewal or open a renegotiation.
How does this compare to a contract-tracking spreadsheet or Notion database?
Spreadsheets and Notion don't actively notify the right person before deadline. Trackords emails the owner, the picked reminder user, any free-form extra email, and all workspace admins on schedule. It also keeps an immutable audit log of every change, which spreadsheets cannot. See our /trackords-vs-spreadsheets page for the full side-by-side.
