Your own record types

Create the types your workspace needs — Insurance, Contract, Iqama, Licence or anything else — or start from ready-made templates. Each type gets its own colour-coded chip.

Custom fields per type

Up to 30 fields per type: text, numbers, amounts, dates, dropdowns and more. They show on the form, the record page, the list columns and the CSV export.

List, board, timeline & calendar

Sort by what expires next, switch to an urgency board, follow the timeline or open the calendar. Filters, columns and saved views are remembered per user.

Renew in one click

Renewing rolls the dates forward, keeps the renewal history and restarts the reminder schedule. Bulk actions handle many records at once.

02 · Reminders

Give each record up to three reminders — days before expiry or a fixed calendar date — and Trackords emails the right people as each deadline nears.

Email reminders that never sleep

Your schedule, per record

Say 90, 30 and 7 days before, or an exact date. New records start at 35, 10 and 5 days, and you can add an alert on the expiry day itself.

The right recipients

Send reminders to everyone in the workspace or only to the record owner, plus an optional extra address per record. Each person can opt out of reminder emails.

Weekly digest

A weekly summary of everything that is expired or due within 30 days, on the weekday your workspace chooses.

Calendar feed

Subscribe once and every expiry date appears in Google Calendar, Outlook or Apple Calendar — and stays in sync.

03 · Payments

Not everything renews by itself. Bills, invoices and tax payments are paid once — and then they should leave your list.

Track payments until they are paid

Mark as paid

Set a type to “paid once” and its records get a due date and a Mark as paid button — with the date, amount, a note and an optional receipt.

Completed page

Paid items move off your lists to the Completed page, with totals per currency, filters and a CSV export. A mistake can be undone.

Repeating payments

Monthly, quarterly, half-yearly or yearly: paying one creates the next with its new due date, and a month name in the title moves along.

Overdue reminders

A payment past its due date is reminded every few days until someone marks it as paid — or switch that off.

04 · Teams

Invite teammates, pick a role for each and stay fully isolated from every other workspace.
