Everything about Trackords

Trackords is a free online platform for tracking expiry, renewal and due dates: subscriptions, visas, passports, contracts, licences, insurance policies, payments and any other dated record. It emails reminders before each deadline so nothing is missed.

Yes. Every feature is included with no credit card, no trial period and no paid tiers. We only ask that you use Trackords within a fair use policy so it stays fast and free for everyone.

Yes. Open the live demo from the sign-in page: it is a ready-made workspace with sample subscriptions, contracts, visas, iqamas, licences, insurance, domains and a monthly payment, so you can explore the dashboard, reminders and custom fields straight away. The demo is shared with other visitors and reset every night, so please do not enter real personal data; emails and uploads are switched off there.

Anything with an expiry, renewal or due date: SaaS subscriptions, software licences, work and visit visas, residence permits such as the Iqama, passports, national IDs, contracts, insurance policies, domains, certificates, warranties, bills and invoices. Admins create their own record types and fields, so each record stores exactly the details that matter.

Yes. Admins manage them on the Types and Fields page: create a type such as "Insurance policy" or "Equipment warranty", or start from a template, then add up to 30 fields: text, numbers, amounts, dates, dropdowns, yes/no or a workspace member. The fields appear on the form, the record page, the list and the CSV export.

Each record can have up to three reminders, each a number of days before the date or a fixed calendar date, plus an optional alert on the expiry day. New records start at 35, 10 and 5 days. Reminders go to everyone in the workspace or only to the record owner, as the workspace prefers, plus any extra address added to the record.

No. Each reminder is sent once. A record with three reminders produces three emails before its deadline, and every user can switch reminder emails off in their own settings. The optional weekly digest is a single summary email.

Yes. A record type can be set to "paid once". Its records show a due date and a Mark as paid button; paid items move to the Completed page with the date, amount, a note and an optional receipt. Repeating payments create the next one automatically, and overdue payments are reminded every few days until they are paid.

Yes. Invite teammates by email and give each a role: admin (full control), editor (manage records) or viewer (read-only). Every workspace is fully isolated, so other teams can never see your data.

Yes. Settings gives you a private calendar feed address. Subscribe to it in Google Calendar, Outlook or Apple Calendar and every expiry date appears there and stays up to date.

Passwords are hashed with bcrypt, attachments are stored outside the public web root and only open for members of your workspace, every query is scoped to your workspace, and changes are written to an audit log. Data is hosted in the European Union.

Yes. The import wizard reads a CSV file, matches its columns to your record fields, shows a preview with any problems per row, and imports when you are happy. A whole import can be undone in one click.

Yes. Export your records to CSV at any time from the records list; the export follows your current filters and columns. Paid payments export from the Completed page.

Yes. Drag PDF, JPG, PNG, Word or Excel files onto a record: a signed contract, a visa scan, an insurance certificate or a receipt. Images get a thumbnail preview.

It moves to the trash for 30 days, where it can be restored. After 30 days it is deleted for good, together with its attachments.

Yes. Email info@trackords.com and we will permanently delete your account, every record and attachment in your workspace and the log entries tied to it.

Trackords is built with privacy in mind: it collects only what is needed to run your account, keeps each workspace isolated, hosts data in the EU, loads analytics only after consent, and you can request a full export or deletion at any time.

English, German, Spanish, French, Dutch and Turkish. Pick a language from the menu at any time; reminder emails are currently sent in English.

Spreadsheets do not send reminders, do not control who can edit what and get scattered across email attachments. Trackords keeps every date in one place, emails the right people before each deadline and keeps a full history of changes.
